Client intake systems for law firms
Raze Drops builds client intake systems for law firms, so a new enquiry is acknowledged, screened against the matter types you take, checked for the obvious conflicts and turned into a complete file before a fee earner spends a billable hour on it.
On this page
Intake is the least billable and most expensive hour in a small firm. A partner reads an enquiry that was never going to be a matter, or a good matter waits three days because everyone was in court. This page describes the intake system we build, what it screens, and what it costs.
What does a firm lose in the first week of an enquiry?
Good enquiries go elsewhere while nobody is free to answer them, and unsuitable ones consume the attention of the most expensive people in the building.
The client’s own experience is the same either way: they told their story once, then waited, then had to tell it again. That is the impression the firm makes before any advice has been given.
What does the client intake system actually do?
It responds to every enquiry, takes the facts in a structured way, screens for matter type and the obvious conflicts, and asks for the identity documents the file will need anyway.
What reaches the fee earner is a complete, sorted file with a recommendation about whether it fits the firm. Nothing in it offers legal advice; the screening logic is a custom AI agent and the file and calendar side is integration work with your practice system.
What does an intake build cost and how long does it take?
It is priced per project, from $300 to $9,000 depending on the practice areas, the screening rules and the systems the file has to reach, with a monthly maintenance retainer.
The proposal and the price are settled before any deal is signed. Firms often read document collection for accountants and candidate outreach for recruiters as similar builds.
| Step in an enquiry | With a secretary today | With the intake system |
|---|---|---|
| First contact | Answered when someone is free | Acknowledged immediately, with next steps |
| Taking the facts | Retold to two or three people | Captured once, in a structured form |
| Matter type and conflicts | Checked late, sometimes after work starts | Screened before the file reaches a fee earner |
| Identity documents | Chased over several calls | Requested and tracked until they arrive |
| Opening the matter | Typed into the practice system | Written into it from the completed file |
Tell us which matter types you take and we will send a proposal with a fixed price. Start on the contact page.
