Most businesses that think they need a custom CRM need the one they already pay for to actually do something. The follow ups are not happening, the stages are wrong because nobody moves them, and the monthly report is compiled by hand from a tool that was bought to produce it. All three are automation problems inside a product that is fine.

When does a custom CRM win?

When the process has steps no product models, or when the team has already rejected the product and will keep rejecting it. A tool nobody updates is worse than a spreadsheet nobody pretends is a tool.

The second case is the one owners underestimate. If your managers hate the system, the data in it is wrong, and every report built on that data is wrong in a way nobody can see. Rebuilding around how the work actually happens is sometimes cheaper than another year of training people to fight the product.

The honest third option is on the table too. If you are one person with a short list of open deals, the spreadsheet is correct and buying anything is premature. We will say that in the first reply rather than sell you a build you do not need.

What does each one cost to build and to run?

Projects run from $300 to $9,000 either way, then a monthly maintenance retainer if you want it kept running [1]. Automating a pipeline in a CRM you already own sits near the bottom; a custom build with its own screens sits near the top.

The running cost differs more than the build cost. Automation keeps your existing subscription and adds our optional retainer. A custom build removes the subscription and keeps the retainer, which for a large team is often the cheaper of the two over a couple of years.
